Main trade-off
Ricoh ScanSnap iX2400
A computer must be part of the USB workflow. It cannot replace iX2500’s phone and direct-network access.
Head-to-head
Choose iX2400 if one computer receives your scans and you want a single physical start button. Choose iX2500 for phone access, touchscreen destinations or computer-free filing after setup. Its Privacy mode only enables profiles that save locally to a connected device, so do not expect private temporary profiles and direct cloud or email delivery together. Both have the same 100-sheet rating and the same open-tray depth.
Before you choose
Imagine a shared scanner used for school forms, insurance paperwork and work expenses. iX2500 can show personal profiles only while the person’s device is connected, then clear them when it disconnects. That Privacy mode enables local-device destinations only. It cannot send through ScanSnap Cloud or directly to email. If the attraction is walking up without a device and sending straight to the cloud, use the appropriate regular profile and review who can access the shared scanner. If all files go to one managed computer anyway, iX2400’s simpler USB route may already fit. Neither workflow by itself guarantees confidentiality.
What this is based on
Ricoh explicitly excludes ScanSnap Cloud and direct-email profiles from iX2500 Privacy mode. iX2400 is USB-only. The household example describes a destination conflict, not a security certification.
Main trade-off
A computer must be part of the USB workflow. It cannot replace iX2500’s phone and direct-network access.
Main trade-off
Privacy mode excludes ScanSnap Cloud and direct email. PC-free network-folder setup still requires a computer, and the highest color-resolution mode is unavailable for direct NAS saving.

iX2400 or iX2500 for shared paperwork? Compare USB simplicity, privacy versus PC-free saving, receipt-guide capacity and the desk space both need.
Both suit a household or small office turning large stacks of loose paperwork into digital files. Their ordinary feeder capacity and rated speed match. The extra money for iX2500 buys ways to choose and reach a destination, rather than a faster ordinary paper path.
Winner by situation
iX2400 supplies the same ordinary feeder rating with a single-button USB workflow.
iX2500 adds those destinations after setup. Privacy mode and high-resolution restrictions still apply.
Both have a 50-sheet A4 limit with the guide, so this example needs at least two loads.
Neither provides a TWAIN driver. Check the application’s import workflow or choose another scanner.

Keeping the Receipt Guide attached is convenient when you switch between small receipts and office paper. It also reduces the stated A4 capacity to 50 sheets on both models. An 80-sheet stack of suitable 80 g/m² A4 paper therefore needs at least two loads with the guide attached, versus one within the 100-sheet rating with it removed. If monthly filing is the reason to upgrade, iX2500 does not remove that reload. Decide whether leaving the receipt setup ready or feeding the large stack at once matters more that day.
Minimum loads for the stated example: ceiling(80 / 50) = 2 with the guide, ceiling(80 / 100) = 1 without. Capacity varies by media. No saving or OCR time is calculated.
Both bodies close to 6.34 inches deep, but reach 18.78 inches with the extension and stacker open. That is another 12.44 inches before cable access and space to handle the paper. On a desk shared with homework or a laptop, moving up to iX2500 does not make the filing setup smaller. Measure the open position before deciding where it will live. If the only usable surface is too shallow, neither is the answer merely because its closed body fits on the shelf.
18.78 minus 6.34 = 12.44 inches. The same published min and max dimensions apply to both. Additional clearance is not quantified and unsupported overhanging placement is not recommended.
iX2500 is attractive if you want the family filing computer switched off. Its direct network-folder workflow still needs a computer for initial setup, and its 600 dpi color Excellent mode is unavailable when saving directly to a network folder or ScanSnap Cloud. If your archive genuinely needs that mode, keep a computer in the workflow. If ordinary documents at 300 dpi are the job, direct NAS saving may still be useful. Buying iX2500 for computer-free filing does not mean every scan mode becomes computer-free.
Ricoh specifies computer setup for direct network-folder saving and excludes Excellent mode from direct network-folder and ScanSnap Cloud routes. Resolution choice is a workflow requirement, not a claim that 600 dpi improves every document.

Meaningful differences
| What changes | Ricoh ScanSnap iX2400 | Ricoh ScanSnap iX2500 | Why it matters |
|---|---|---|---|
| Starting and choosing a destination | One button, USB to a computer | 5-inch touchscreen, USB and Wi-Fi | A single filing station needs fewer on-scanner choices than several people sending to different places. |
| Ordinary A4 color batches | 100 sheets at 80 g/m², up to 45 ppm at 300 dpi | 100 sheets at 80 g/m², up to 45 ppm at 300 dpi | The higher model does not promise faster feeding for this same document and scan mode. |
| With Receipt Guide attached | Up to 50 A4 sheets | Up to 50 A4 sheets | Keeping the receipt guide in place changes the big-stack capacity on either scanner. |
| Shared private profiles | Computer-based USB workflow | Privacy mode keeps only local-device profiles while connected | iX2500’s ScanSnap Cloud and direct-email profiles cannot be used in Privacy mode. |
| Computer-free network-folder saving | Requires the computer workflow | Supported after computer setup and network configuration | PC-free day-to-day use does not mean a phone-only setup process. |
| Ready-to-scan depth | 18.78 inches with trays extended | 18.78 inches with trays extended | Either needs substantially more depth than its 6.34-inch closed body. |
| Windows application integration | ScanSnap Home, no TWAIN or ISIS | ScanSnap Home, no TWAIN or ISIS | An application that requires its own TWAIN scanning dialog will not gain it through this upgrade. |
What you give up
Recommendation switch
Choose Ricoh ScanSnap iX2400. Wi-Fi and on-scanner destination selection add little to this fixed workflow.
Choose Ricoh ScanSnap iX2500. The touchscreen and wireless routes solve that access problem, subject to mode and setup limits.
Choose neither. Both fall to the same 50-sheet A4 rating with the guide.
What matters in practice
You want everyone to file paperwork without opening a computer, but you also want temporary private profiles on a shared scanner. iX2500 offers both approaches, although its Privacy mode cannot use ScanSnap Cloud or direct-email profiles.
